Construction Administrator

ESSENTIAL DUTIES + RESPONSIBILITIES
• Communication: Builds and maintain effective working relationships and communications with all “stakeholders” (such as owners, project managers and other staff, consultants, contractors, and others).
• Teamwork:
o Support, direct, and mentor CA-I and other internal design team staff with-in a team-building work environment
o Exude a diplomatic, open-minded, fair, calm, responsive, and professional demeanor at all times.
• Proposals:
o Review and provide feedback on proposals and contracts as requested by Project Manager, Principal, or Partner.
o Assist in determining project-specific information including overall project scope, fee estimating, and project scheduling as requested by Project Manager, Principal, or Partner.
• Design/Documentation Phase Involvement:
o Review drawings and specifications for quality, completeness, coordination, and constructability both internally and with consultant documents as requested by Project Manager, Principal, or Partner.
o Actively participate in design meetings as requested/needed.
o Assist in continual refinement of internal construction administrative processes with emphasis on efficiency, quality assurance and timely project closeout.
o Ensure internal quality control and quality assurance is adhered to throughout the life of the project.
• Construction Administration Phase:
o Responsible for administering the construction contract per the executed Owner/Architect agreement and as may be amended by the General/Supplementary Conditions sections included in Division 00 of the respective Project Manual.
o Review and provide feedback on construction cost estimates, change orders and construction schedules.
o Perform field observations, construction observation activities and attend OAC meetings in person.
o Confer with design team to discuss project issues and formulate solutions for resolution.
o Review, coordinate, and distribute proposal requests and other AIA or administrative documentation as needed.
o Review and take appropriate action on submittals, RFI’s, substitution requests, and pay applications.
o Actively participates in project close out including punch list, reviewing final application for payment and preparation of the certificate of substantial completion.
o Keep firm partners, project managers, and owners informed of project activities.
• Abide by and fully support compliance with all firm policies and maintain daily attendance reliability in the office, or as assigned, and in accordance with policies.
• Performance of other related duties as assigned.

Requirements

    • Established organizational and multi-tasking skills and ability to accomplish tasks under strict deadlines.
    • Strong leadership and communication skills, including verbal, written and technology-based communication
    • Ability to work effectively individually and/or in a team
    • Excellent problem-solving, negotiation and consultation skills and the ability to take appropriate decisive action.
    • Advanced knowledge of architectural building systems, construction methodology, design, trends, material application, sustainability, integrated design, and LEED
    • Demonstrated ability to mentor and lead others by example.
    • Understanding of successful pre-project planning and ability to identify and mitigate risks.
    • Available for travel, works hours as required to meet training and project requirements/deadlines.
  • Technology:
    • Strong proficiency in Bluebeam, MS Office (Outlook, Word, Excel, & Teams), and TonicDM
    • Working knowledge of AutoCAD, MS Project, Sketchup, Deltek Vantage and Revit/BIM360

Experience with Procore, TeamBinder, TonicDM and/or other construction management software’s preferred.
